Understanding EPFO and UAN

The EPFO is a statutory body under the Ministry of Labour and Employment, responsible for managing provident fund contributions of the Indian workforce. Each member is assigned a Universal Account Number (UAN), which serves as a unique identifier, consolidating multiple Member Identification Numbers (Member IDs) allotted to an individual by different establishments. The UAN acts as an umbrella for these multiple IDs, streamlining the management of provident fund accounts.

Traditional Process for Updating Personal Details

Previously, EPFO members seeking to correct or update personal information—such as name, date of birth, or gender—had to follow a cumbersome process:

  1. Submission of Joint Declaration: Members were required to submit a Joint Declaration Form, endorsed by both the employee and the employer, detailing the necessary corrections.
  2. Employer Verification: The employer would verify the details and forward the request to the EPFO for approval.
  3. Supporting Documents: Members had to provide supporting documents, such as identity proofs, to validate the requested changes.

This process often led to delays, with approvals taking up to 28 days, causing inconvenience to members.

New Simplified Process for Aadhaar-Linked UANs

Recognizing the need for efficiency, the EPFO has revised its procedures for members whose UANs are linked and validated with their Aadhaar numbers:

  1. Self-Approval Mechanism: Members can now directly update their personal details—such as name, date of birth, gender, nationality, father’s or mother’s name, marital status, spouse’s name, date of joining, and date of leaving—through the EPFO portal without requiring employer verification or approval from the EPFO. ?cite?turn0search2?
  2. No Supporting Documents Needed: For Aadhaar-validated UANs, updating personal details no longer necessitates uploading supporting documents. The Aadhaar linkage serves as sufficient validation for the changes.

Benefits of the Revised Process

The updated mechanism offers several advantages:

Steps to Update Personal Details Online

Members with Aadhaar-linked UANs can follow these steps to update their personal details:

  1. Log In to the EPFO Member Portal: Visit the EPFO Unified Member Portal and log in using your UAN and password.
  2. Navigate to Profile Settings: After logging in, click on the ‘Manage’ tab and select ‘Modify Basic Details’ from the dropdown menu.
  3. Enter New Details: Input the correct information in the respective fields that need updating.
  4. Submit the Request: Review the entered details for accuracy and submit the request. Since your UAN is Aadhaar-validated, no further documents or approvals are necessary.

Considerations for Non-Aadhaar Linked UANs

For members whose UANs are not linked with Aadhaar:

  • Traditional Process Applies: The conventional method of submitting a Joint Declaration Form through the employer, along with supporting documents, remains in effect.
  • Recommendation to Link Aadhaar: To take advantage of the simplified process, members are encouraged to link their Aadhaar with their UAN. This linkage not only facilitates easier updates but also ensures seamless access to various EPFO services.

Impact on Pending Requests

The EPFO’s data indicates that out of approximately 800,000 correction requests received in the financial year 2024-25, nearly 45% can now be self-approved by members without employer verification. This change is expected to eliminate delays and streamline the updating process.
